IT Maintenance Announcements – December 2012

Below, find a list of the IT maintenance events along with the impacted systems and services.

Upcoming Maintenance

  • On Tuesday, December 4, beginning at 7 AM CST, IT will begin maintenance on UMSEVIS. The maintenance will be completed by the end of the day. This will impact the fsaAtlas application used by International Programs.
  • On Wednesday, December 12, beginning at 12 Midnight CST, IT will begin an upgrade of Blackboard Learn to Service Pack 9. During this maintenance, blackboard.olemiss.edu will be offline. Since this update can require additional disk maintenance, we expect Blackboard Learn will be available by Tuesday, December 18. However, we will make every effort to complete this work as soon as possible. We will announce availability when the maintenance is complete.
  • On Wednesday, December 12, beginning at 6 PM CST, Outreach IT will begin the move of equipment into the Data Center. This event will include a bandwidth increase between Oxford and our four regional campuses – Booneville, Desoto, Grenada and Tupelo. During this maintenance, network access to our regional campuses and Outreach web sites will be offline. We anticipate this maintenance to be complete on Thursday, December 13.
  • On Friday, December 21 beginning at 8 AM CST, network maintenance will be performed on our Internet connection. Users can expect intermittent Internet connectivity until the maintenance is complete. For individuals off campus, this would impact access to UM hosted sites (e.g., UM Mail- Exchange, my.olemiss.edu, blackboard.olemiss.edu, etc.). For individuals on our campus network, access to UM web sites will not be impacted but Internet access can be intermittent.

Upcoming Maintenance

  • On Friday, October 5, beginning at 8 AM CDT, UM Webmail will be taken offline permanently.  UM Mail (Exchange) and UM Gmail will continue to provide UM email services.  More information is available at TECHNews.
  • On Friday, October 19, IT will perform maintenance on the Financial Aid system.  The effort should be completed on Sunday, October 21.

IT Maintenance Announcements – August 2012

Below, find a brief list of the IT maintenance events along with the impacted systems and services.

Upcoming Maintenance

  • On Saturday, August 4, beginning at 8 AM CDT, IT will deploy new hardware for Blackboard Learn. During this upgrade, users will be unable to log on to Blackboard.  The effort should be completed by Noon CDT.
  • On Saturday, August 4, beginning at 8 AM CDT, IT will perform software maintenance impacting myOleMiss.   The effort should be completed by 11 AM CDT.
  • On Saturday, August 11 from 8 AM CDT – 5 PM CDT, IT will perform maintenance on the UM wireless network.   During this time, UM wireless service can be inaccessible for short periods (minutes) on the Oxford campus. Please remember that wired service to the UM network will be available.

Below, find a brief list of the IT maintenance events along with the impacted systems and services.

Upcoming Maintenance

  • On July 5, beginning at 7 AM CDT, IT will deploy new DNS and DHCP servers.   This maintenance impacts all UM campuses.  The effort should be completed by 7:15 AM CDT.   During this upgrade,  users can experience slow response to name resolution requests and timeouts when checking email or attempting to visit web sites.    After this maintenance period, please immediately report any issues with obtaining an IP address or resolving a web site name to the networking group.
  • SAP Production and myOleMiss will be unavailable on Saturday, July 28 to perform necessary updates to close out the fiscal year.  These services will be restored by Sunday, July 29.

IT Maintenance Announcements – May 2012

Below, find a brief list of the IT maintenance events along with the impacted systems and services.

Upcoming Maintenance

  • On Monday, May 14, the SAP Netweaver Gateway will be upgraded. This upgrade will impact the availability of the following services off the main UM web site:  people directory, experts guide and the events calendar.  Similar services offered through the Ole Miss iPad app will not be impacted.
  • Beginning on Monday, May 28 through Tuesday, May 29, Blackboard Learn will be upgraded.  This upgrade will include additional support for web browsers and fixes for known grade book issues.   Instructors and students will be unable to access the Blackboard site during this important upgrade.

SAP and myOleMiss Maintenance May 30

The SAP production system and myOleMiss will be unavailable starting at 8:00 AM on Monday, May 30 (Memorial Day) for maintenance. The maintenance will be completed and system availability will be restored by no later than 12:00 PM on Monday, May 30.

Quality Testing Yields Smooth Upgrades

Imagine This…

A major upgrade is underway in the University’s SAP landscape and the dates of the production system upgrade are rapidly approaching.  As part of the upgrade process, functional users are asked to test their areas of responsibility in the Sandbox and QAS beforehand and report any issues that are discovered using the SAP Issues application in myOleMiss.  However, some users elect to test only a few areas.

Fast forward to the end of April.  The upgrade is now complete in the production SAP system and a functional user begins a process to change a student’s program of study.  Unfortunately, this particular area is not thoroughly tested.  As a result, it takes approximately one day for IT to research the issue, determine the underlying cause (missing authorizations as a result of the upgrade), add the necessary authorizations, and re-test the issue.   How could this scenario have been prevented?

Test Each Section Thoroughly (TEST)

Functional acceptance testing is an essential process of the application development lifecycle that needs to take place before rolling out any new application or updated components of an existing application.  This testing takes on a larger, more important role with SAP upgrades.  Thorough acceptance testing results in an overall smoother upgrade process.  The Office of Information Technology (IT) is already preparing for a major SAP upgrade that will take place on Easter weekend.  See the TECHNews article, Major Upgrade Easter Weekend: SAP Production & myOleMiss Unavailable, April 21-25, 2011.

“From the perspective of the support team, there are two aspects to testing,” stated Laurie Richlovsky, SAP Training Coordinator.  “First is making sure that all the applications are functioning properly. The second is making sure that end user authorizations have not been impacted by the changes – that people who need to use certain transactions still have all of the underlying authorizations to make the transactions work.  If either one of these has not been tested, the entire IT team, indeed, the entire campus, could be dealing with emergencies when the changes are promoted to production.”

Testing Experiences

Jack Garner, Bursar Emeritus, has been instrumental in the acceptance testing process for SAP upgrades as well as SAP support packages, which are typically applied quarterly:

“During one major upgrade,  I recall testing our Cash Desk process whereas our tellers post payments and print receipts for the payment.  In many test case scenarios, the system would not print a receipt.  In those cases where it did print one, the receipt was incorrect.  This was a show stopper for the Bursar’s Office.  With IT’s assistance, an OSS note was filed with SAP, and the problem was resolved before the go-live date.”

“Another area that we have to test when an enhancement pack is applied is our fee calculation process.  This area is ably tested by Deborah Smith, Senior Accountant.   If we are unable to calculate and post fees to student accounts, we cannot generate the tuition revenue that is vital to the University’s operation.”

Regina Johnson, Assistant Director of Human Resources, is responsible for coordinating all testing efforts within Human Resources, including Payroll:

“All HR authorizations and functions (i.e. records, benefits, compensation, payroll, reporting) are thoroughly tested before patches or major upgrades are applied in production,” stated Regina.  “This is a total team effort that involves the majority of the staff within the Department of Human Resources.”

“In regard to payroll processes, a time administrator’s role is to review, correct and approve an employee’s time sheet.  Time administrators across the entire campus routinely make adjustments to time entries for a number of reasons.  While testing in QAS, HR testers made corrections to a prior pay period.  Instead of the corrections overriding the previously entered time, the system added these hours to the time sheet.  If this was not caught during the testing process, this would have caused an overpayment.   With the assistance of IT, we were able to determine the problem, and after analyzing the problem and determining a solution, we underwent further testing prior to moving the correction to production.”

Testing Tips

Involve additional people from your area in your acceptance testing process.  Those who work with particular processes on a daily basis generally are the best testers.

Test all of your daily, weekly, monthly, and yearly processes.  In prior upgrades, some issues that were overlooked during the testing phase of the upgrade surfaced in processes that were executed only once or twice a year.

Report found issues immediately using the SAP Upgrade Issues application in myOleMiss.  To do this, login to myOleMiss.  => Choose the Employee tab. => Then, the SAP tab => Click SAP Upgrade Issues from the left “Detailed Navigation” menu.  => Click Submit New Issue located in the top right corner of the screen.  => Fill in required and optional fields, attach documents, and click the submit button.  Your form will be quickly routed to a member of the IT technical team to begin analysis and resolution of the issue.

Testing – Essential

Testing is important when  introducing new functionality or performing a major upgrade. Major Upgrade Easter Weekend: SAP Production & myOleMiss Unavailable, April 21-25, 2011

The SAP production system and the myOleMiss portal will be unavailable beginning at 5 p.m. on Thursday, April 21 due to a major upgrade. The system is scheduled to be unavailable until Monday, April 25 at 8 a.m. During this downtime, Office of Information Technology (IT) staff members will install the latest enhancement package from SAP, Enhancement Package 5 (EhP5) for SAP ERP 6.0.

Enhancement packages are SAP’s method of introducing new functionality into its software without requiring customers to perform a full-scale upgrade. To date, SAP has released four enhancement packages since the release of ERP 6.0 in 2006. Each enhancement package is cumulative, meaning that EhP5 contains all of the functionality delivered in EhP’s 1 through 4, as well as new functionality in EhP5. Another unique feature of SAP’s enhancement package strategy is the ability to activate only the new functionality that applies to an institution’s particular environment. This allows institutions to be selective in planning upgrades.

All new functionality for SAP’s Student Lifecycle Management application (SLcM) is delivered via enhancement packages and, typically, that is the driving force behind the decision to install them at the University. EhP5 is no exception, as SAP has introduced substantial enhancements to the Degree Audit process, namely a major revision of the user interface. The University elected to participate in SAP’s ramp-up program to take advantage of this new interface; by doing so, we will be one of the first SAP customers in the world to have this software.

Degree audit is an advising tool for viewing a student’s progress toward fulfillment of degree requirements. This application can be used by students, advisers, chairs, deans and other academic department staff. Degree audit does not replace the graduation application process; therefore, students still need to follow their respective college or school’s graduation requirements.

“The new Degree Audit system will be more user-friendly for students and will make it easier for academic administrators to apply and maintain substitutions,” notes Margaret Walden, Systems Analyst III, IT. Walden manages the Degree Audit project at the University and works with academic deans and chairs to facilitate the process and insure continued progress with this system. Walden adds, “One of the biggest enhancements with the new user interface is that it will allow the user to view details about requirements within the same window as the overall results of the audit. With the current interface, users have to scroll to the bottom of the audit to view details of the requirements or applicable courses.”

EhP5 has been installed onto our sandbox system for acceptance testing by functional testers, and the acceptance testing process is currently underway. During the acceptance testing process on the sandbox system, IT will be scheduling several training and testing sessions for the various Dean’s Offices, some of the ASB student representatives, and any other interested and authorized administrators.

In the future, Walden looks forward to the possibility of integrating GPA information and enhancing the notes functionality, which will allow advisors to communicate even more with their students and with other administrators.
