IT Maintenance Announcements – June 2012

Below, find a brief list of the IT maintenance events along with the impacted systems and services.

Upcoming Maintenance

  • SAP Production and myOleMiss will be unavailable on Saturday, June 2 to perform necessary systems upgrades.  These services will be restored by Sunday, June 3 at 8 AM CDT.

New Method for Instructors to Initiate Grade Changes

Instructors now have a new method for initiating grade changes. Instead of completing a paper grade change card, instructors can initiate a change from within myOleMiss. This new service can be used to change a grade that has been submitted as complete during the normal window for submitting grades as well as afterwards. Also, it can be used to change an in-progress grade or enter a new grade after the normal window for submitting grades has closed.

To initiate a grade change, go to Class Rolls and Grades, choose term and year, press submit, and then select View / Change Final Grades from the drop-down menu. The layout of this page has been updated to match the new advisor and class roll layouts. Grades that are eligible to be changed will have an eraser icon next to them. Selecting the eraser will open a form allowing you to enter the grade change details. The request will open in a new window and will automatically populate the student, course, term, year, and original grade.

You will be prompted to enter the new grade and the reason for the change. If the new grade is an I (incomplete) grade then you will be asked to provide details on the work to be completed as well as the date the work must be completed. As with the regular grading process, the I grade information will be sent via email to the student, the instructors of record, and the chair of the department that offers the course.

When you submit a grade change request after the normal grading window has closed, it will be routed to your chair and dean for approval. If the grade change is for a graduate-level course, then the request will also be routed to the Graduate School Dean for approval. Grade changes submitted during the normal grading window do not require approval. You can check on the status of grade change requests that you have initiated by selecting Grade Change Overview from the Class Info workset.

Official Ole Miss App: Announcement of Survey Winners


In April, the University of Mississippi (UM) conducted a survey on the Official Ole Miss App ~ iPad Edition to gauge initial reactions and to gather input for future enhancements to the app. The survey was open to students, parents, employees, alumni, fans and other interested individuals who were age 18 or older. To be eligible to win, survey participants were required to provide their email addresses. A total of 881 responses were received. UM gave away ten $100 Apple Gift certificates as incentives for completing the survey. The ten winners were selected randomly. Information Technology and University Communications employees were not eligible to win.

Need a Summer Break from UM Today Daily Emails?

Summer is almost here and, if you are not teaching or enrolled in classes or if you are traveling, you may want to disable the daily UM Today email summaries.

To do this, sign in to myOleMiss and choose “Preferences” from the upper right of the UM Today listing. Once here, you should see an option to set your UM Today email format. You can set it to text-only, mobile-friendly, or you can disable the messages altogether. The default, HTML format, includes all of the graphics and menus that display best from a computer with a Web browser. Note that this menu also lets you prioritize your messages within the UM Today listing and even suppress messages by type.

You can view UM Today messages anytime from myOleMiss. Although disabling the daily messages may give you some email relief, keep in mind that you may miss important announcements by doing this.

Need Input from Advisors

During the next few weeks, the Office of Information Technology (IT) will be considering requests for new features in the advising interfaces within myOleMiss. We would like to hear ideas from current advisors on how to make the interfaces more useful. The last big round of changes came in Spring 2011, and almost all of the (really great) ideas implemented then came directly from advisors. Please send your suggestions and requests to it@olemiss.edu.

SAP Tips and Reminders

There are currently 814 active users of the University’s Enterprise computer system, SAP. As the SAP Training Coordinator, I’ve probably spoken with or met every one of you!  Since we’re soon to experience some quiet time with the students off for the summer, I thought it would be a good time to share some tips and reminders that might make your daily experience with SAP easier and more effective.

  • Everybody forgets a password now and then, and we do have several to keep up with.  Luckily, we’ve centralized all password re-sets at the IT Helpdesk.  Their phone number is 915-5222 and they may be reached via email at helpdesk@olemiss.edu.
  • In order to use the SAP GUI, your department must first have a license for the position you are currently holding.  All the forms required to receive or update a license to use the SAP GUI may be downloaded from the SAP Support Website.
  • The next thing a new user needs to access SAP is training.  We offer training in twelve functional areas at least once per month.  You may find the class descriptions (what they cover) and the class handouts on the SAP Support Website.
  • In order to access the SAP system, you must have the SAP GUI (Graphical User Interface) software installed on your computer. The GUI must always be maintained at the current version and patch level.
    • If you have a PC with Windows XP or a Mac, you may choose the self-install option for installation or upgrading the SAP GUI.
    • If you have a PC with Vista or Windows 7, please contact the IT Helpdesk  to have the SAP GUI installed.
    • When requesting assistance with the SAP GUI installation, Indicate if you need it installed on a Mac or a PC.  If PC, please include your operating system information (XP, Vista, Windows7, etc.).

Finally, I’d like to say a word about testing. SAP frequently updates and improves its software.  The University of Mississippi uses a quarterly system to install these improvements on a regular schedule and we are rapidly approaching our first quarter patch.  Some of you may soon receive a notice asking that you test in QAS all the transactions that you regularly use to do your job. This is an extremely important task, as it helps us to identify any issues or authorization changes that may result when the patch is applied to the Production system.  We appreciate your help with this task; ultimately it makes your job easier, too!

Upcoming Maintenance

  • On Monday, May 14, the SAP Netweaver Gateway will be upgraded. This upgrade will impact the availability of the following services off the main UM web site:  people directory, experts guide and the events calendar.  Similar services offered through the Ole Miss iPad app will not be impacted.
  • Beginning on Monday, May 28 through Tuesday, May 29, Blackboard Learn will be upgraded.  This upgrade will include additional support for web browsers and fixes for known grade book issues.   Instructors and students will be unable to access the Blackboard site during this important upgrade.
