SAP and myOleMiss Maintenance May 30

The SAP production system and myOleMiss will be unavailable starting at 8:00 AM on Monday, May 30 (Memorial Day) for maintenance. The maintenance will be completed and system availability will be restored by no later than 12:00 PM on Monday, May 30.

NEW Degree Audit System Availability

The new Degree Audit system is currently available for advisors, chairs, deans, and other academic department staff.  Students will be able to access the new system beginning 3:00 p.m. on Wednesday, May 18th.

Degree Audit is an advising tool for viewing a student’s progress towards fulfillment of degree requirements. The latest enhancements for Degree Audit were included in the April 2011 Upgrade.   According to Margaret Walden, the primary IT analyst  responsible for maintaining the Degree Audit system,  ”The new system is  designed to be more user friendly.  Our goal is to provide a useful tool to help facilitate better communication between the advisor and the student concerning degree requirements.”

Degree Audit can be accessed within myOleMiss via the following menu paths:

For Academic Administrators:  Select the Academic Administrator tab => Students tab => Degree Audit from the left hand “Detailed Navigation” menu.

For Advisors: Select the Advisors tab => Advisor Tools from the left hand “Detailed Navigation” menu. => My Advisees => Click Degree Audit located on the left under the student’s profile info.

For Students:  Select the Students tab => Click the Degree Audit tab. => Degree Audit from the left hand “Detailed Navigation” menu.

E-forms 2.0 – Coming Soon

Since the launch of the current E-form system in the late 1990′s, E-forms have become a way of life at the University. Over 20,000 forms per year are routed through the system for processing of new hires, changes of positions, budget revisions, payments to external contractors and other tasks. 

While the current system has served the University community well, it is nearing the end of its useful life for both the hardware and software platforms.  With this in mind, the Office of Information Technology (IT) partnered with the offices of Human Resources (HR), Procurement Services, Vice Chancellor for Administration & Finance, Equal Opportunity & Regulatory Compliance, Provost and the Graduate School to form an ad-hoc committee tasked with the design of the next generation of E-forms.  The result of their work is a new, more robust E-form system, appropriately nicknamed ‘E-forms 2.0’.

The system was developed by Chris Provence (IT) using SAP’s WebDynpro ABAP development platform and will reside within the myOleMiss portal.   Both the UM admissions applications as well as degree audit use this same development platform.  This environment provides for a standard ‘look and feel’ across the various forms and also allows for various elements/components to be reused across each form type.  All of the form data is stored in cluster tables within the SAP production system.

Some of the new features incorporated into ‘E-forms 2.0’ include:

  • The ability to enter multiple cost assignments and specify the beginning/ending date of each assignment
  • More robust data validation
  • The ability to assign delegates for a particular user 
  • Better search capabilities for employees, vendors, cost assignments, etc.

The following classroom training sessions have been scheduled by HR and will take place in the HR Training Room.   You may register online for these sessions.

Online training will also be available for those who are unable to attend the classroom training sessions.  Please contact Jessica Hughes for registration information regarding the online training sessions.

As E-form users complete the training session, they will be set up to begin using the new system.  However, the current E-form system will remain available for users to complete in-process forms and search/review historical forms.  Once all users have been migrated to the new system, IT will begin migrating all of the historical E-form data to the new system, and when the historical data migration is completed, the current system will be retired.

Need Ideas for Next Round of Ole Miss Today Changes

The Office of Information Technology (IT) is planning for the next round of enhancements to Ole Miss Today (OMT) and needs your ideas. The following suggestions were generated from a focus group with student leaders. Please feel free to comment on these ideas and offer any additional ideas that you have by sending email to it@olemiss.edu. Deadline is Sunday, 5/8.

1. Find out if Webmail can be configured to display OMT graphics by default. To receive a message with the x’s for missing images is unappealing, and some students will not take the time to set options to show images.

2. Add information to the header that shows the OMT message is customized for each person.

3. Allow students and employees to prioritize message types so they can control the order that messages appear. Always keep certain message types at the top such as “Emergency” and “My Alerts.”

4. Allow students and employees to opt out of certain message types. Any concerns about this?

5. Allow students and employees to opt out of the daily email and re-enable it as needed. Examples where this might be useful are pharmacy students located at UMMC and students who are on a study abroad.

6. Allow students and employees to choose how they will receive the daily email – as rich text or HTML. The motivation is to provide a method that is readable on all mobile devices and to give those who prefer a text-oriented layout that option.

7. Continue to stress with those who enter messages that the messages need to be succinct and meaningful.

8. Add OMT messages to Blackboard. Would this be a good or bad thing?
